Agreements follow the school year, but your school can leave for convenience at any time on 30 days' notice. No cancellation fee, no minimum spend, and your data and payment history go with you. We hope schools that try us stay because the software earns its place. If it does not, you are free to go.
How we keep the lights on
We believe you should know exactly how your software vendor is paid. Instead of charging schools a subscription, Afterschool Tracker collects a small platform fee on each payment processed through the platform. That one fee funds the software and covers all card and bank processing costs, so there is never a separate processing bill.
Your school decides how the fee works: build it into your posted program prices, so families always pay exactly the price they see, or absorb it on the school side. Rates are set in your services agreement and locked for the term, and bank payments carry lower rates than cards.

Common questions
- Who pays the platform fee?
- Your school chooses, and it is written into your agreement. Most schools build the fee into their posted program prices, so families always pay exactly the price they see. Schools can instead absorb the fee so families pay nothing beyond the posted price either way.
- Are there payment processing fees on top?
- No. Card and bank processing costs are covered by the platform fee. Your school is never billed separately for processing.
- Where does the money go?
- Directly to your school. Families pay your school as the merchant of record through its own Stripe account. Afterschool Tracker never holds your money, and your payment history belongs to you.
- Are we locked into a contract?
- No. Your services agreement runs with the school year and renews automatically, but your school can terminate for convenience at any time on thirty days' written notice. There is no cancellation fee, no minimum spend, and no penalty for leaving. We would rather earn next year than oblige it.
- What does it cost to leave?
- Nothing. Your school can export its complete data at any time, and your Stripe account, including its full payment history and your families' saved payment methods, stays with your school.
- What are the exact rates?
- Platform fee rates are set per school in your services agreement and locked for the term. Bank payments (ACH) carry lower rates than cards. Contact us and we will quote your school's numbers the same day.
